Rules & General Information
All members attending an East Kent Rally are expected to observe the Rules of The Caravan Club and The East Kent Centre, which have been prepared in the general interest and comfort of all members.

Only members of The Caravan Club are entitled to use the facilities of the Centre, and attendance shall be deemed an acceptance of these rules.

All persons attending rallies with the Centre do so entirely at their own risk. No responsibility for personal injury or loss of property, however caused, will be accepted by the Centre, its Officers, Committee members, Rally Marshals, or Assistant Marshals.

The authority for the conduct of the fixture shall be invested in the Rally Marshal or Assistant Marshal, who shall be responsible to the Chairman or, in their absence, the Vice Chairman or next senior Committee member present.

Each member must report to the Rally Marshal before parking and must be prepared to substantiate their identity by producing their membership card if asked to do so.

The siting of outfits shall be carried out in accordance with the direction of the Rally Marshal or Assistant Marshal.

a) Members must not arrive on site before the opening time stated on the EKC Web-Site and the Rally Book. Rally Marshals are instructed to forward names of early arrivals to the Centre Committee.
b) To qualify for a nightly charge for a particular day, members must arrive after 12 noon that day.
c) Any member attending before this time will be charged accordingly. -
Site maximum speed limit is 5 MPH. Learner and unlicensed drivers must not use the site for practice.

Your own sanitation will always be required. Facilities are provided for emptying toilets and waste water. Do not wash or fill chemical toilets under the drinking water tap.

If your slip arrives late you will be welcome, but may not receive papers, social tickets, or a plaque. All fixtures attended with your own van will count towards your colours.

Refunds: No refunds will be made for non-attendance at rallies, except at the discretion of the Treasurer.

In the event of a fixture being cancelled, only those members who have applied to attend will be notified and informed of any alternative arrangements.

All animals must be kept on leads (not longer than 3 metres) and must not be allowed to foul the site.

Ball games must not be played near parked caravans.

All fixture charges are payable in advance.

a) Bicycles must not be ridden on the site. b) Mopeds or motorcycles may only be ridden from the official entrance of the site directly to and from the caravan the rider is visiting. c) Only one car per unit is allowed into Centre lines. Visitors and second cars must be parked as directed by the Rally Marshals.

Barbecues: Charcoal barbecues may only be lit with the site owner’s permission. They must be no less than 3 metres from flammable surfaces (1 metre for gas cookers and grills) and must be attended at all times by an adult.

There is a No Smoking policy at any East Kent indoor or undercover social.

Unnecessary noise should be avoided at all times. In consideration of other ralliers and local residents, private parties should cease at 11pm. Centre socials should also end at 11pm unless the Rally Marshal has requested an extension from the Committee.

These rules are supplementary to the Code of Conduct laid down by The Caravan Club.
Payments & Refunds

Payment Deadline. All rally fees, including any applicable social fees, must be paid in full no later than two weeks before the rally opening date.

When making a Payment, PLEASE include your Rally Number followed by your Surname as the payment reference.

Cheque Payments. If you prefer to pay by Cheque, please send your Cheque to the Rally Marshal in advance of the Rally. Contact the Rally Marshal to obtain the correct postal address for sending your payment.

Important Information. No payments on the day of arrival. Ensure all payments are made and received prior to the Rally date.

Cancellations and Refunds. If you cancel your booking, the Centre will retain £4 to cover administrative costs, plus any non-refundable social fees already incurred.

Confirmation of Payment. By submitting your registration, you confirm that the required payment has been made in accordance with these terms and conditions.
Social Media Policy

Social networking sites (such as Facebook, YouTube, Twitter, etc.) are useful for keeping in touch and sharing information. However, members are reminded that what they post may be widely visible, and they must conduct themselves in a manner that upholds the good name of The Club and respects other members.

The Centre recognises that members may use social networking in their own time and on their own equipment. While individual rights and freedoms are respected, members must avoid bringing The Club or Centre into disrepute or compromising their effectiveness.

This policy protects the privacy, confidentiality, and interests of East Kent Centre members. It applies only to Centre-related issues and is not intended to infringe upon personal interaction. Members should avoid posting information that breaches confidentiality or could be misinterpreted and cause offence.

Photography and videography may be taken at Centre events and rallies. The Centre and The Club may use these images in any media, including websites and promotional materials. If you do not wish to appear in such media, please advise the event organiser or the Centre Secretary, who will do their best to accommodate your request.

Inappropriate posts may be deemed a breach of the Club’s Code of Behaviour (Bye-Law 3e) and could result in disciplinary action (Rules Governing Centres 9 and/or Bye-Law 3f). In serious cases, civil or criminal liability may apply.

When posting online, including blogging or using forums or social media, members are advised not to disclose their position as a Centre member.

The Committee takes the posting of offensive material or the harassment, bullying, or victimisation of members via social media very seriously. Breaches may lead to disciplinary action.
a. Members must not share confidential or non-public information belonging to the Centre.
b. If a member discloses Centre affiliation, they must make clear that any views expressed are personal and not official.
c. Members may not represent the Centre online unless authorised by the Committee. Personal opinions must be clearly identified as such.
d. Centre or Club logos and materials must not be used without permission.
e. Photographs of members must not be used to harass, intimidate, or bring the Club or Centre into disrepute.
f. Members must not display offensive images or engage in any form of harassment, bullying, or discrimination.
Facebook Policy

EAST KENT CENTRE FACEBOOK POLICY

The Centre’s Facebook page is a closed group for Centre members only. Access by others requires Committee approval.

Content published on the Centre’s Facebook page may be viewed by all approved members of the group.

All comments must relate to Club or Centre business. General discussions should take place elsewhere.

The Centre will appoint a minimum of two administrators (including at least one Committee member) to manage its Facebook page. Offensive or inappropriate comments will be removed at the administrators’ discretion, and their decision will be final.
Committee Members' Responsbilities

Committee members have a duty to implement this policy and take action if they become aware of any breaches. They should explain the Centre’s policy on social media use and promote awareness among members.
Online Harassment

If you believe you are being harassed, bullied, or victimised as a result of another member’s online activity, contact the Centre Secretary, Chairman, or another Committee member for support and guidance on the available actions.
Consequences of not Following Policy
Any member found in breach of this policy may face disciplinary action. If a breach also contravenes the Data Protection Act 1998 or other legislation, it could result in criminal prosecution.
